Temperature records can arrive as device exports, photographs, messages, and customer notes. When an exception is reported, the office needs a careful handoff that keeps those sources separate. Administrative staff should not decide cargo condition or equipment fitness.

Freeze the first evidence set

Open an event record with load, trailer, device identifier, reported exception time, reporting party, receipt channel, and source links. Preserve original files. Note the timezone shown by each source and do not convert timestamps without retaining the original value and conversion rule.

An image of a display, a sensor export, and a written statement are different evidence types. Label each one accurately. A message describing a reading does not become device data because it contains a number.

Route the packet, not a conclusion

Prepare a packet containing the event record, source list, visible gaps, and conflicting observations. Send it to the carrier-designated operations or safety owner and record the delivery event. Ask a narrow question when the procedure does not identify the next step.

Do not diagnose equipment, approve continued movement, assess product safety, or tell a driver how to respond. Those decisions require authorized operational judgment.

Record updates as events

Later downloads, corrected timestamps, and customer responses get new entries. Keep the earlier evidence and show what changed. Record the owner's instruction verbatim or link to it in the approved system.

Check the handoff

At shift change, review open exceptions for source availability, owner acknowledgement, requested follow-up, and next review time. Test one complete case and one conflicted case each week. Another reviewer should be able to reproduce the packet and identify the decision owner.

Working standard

The handoff is complete when the evidence is preserved, source differences are visible, and an authorized carrier owner has accepted the packet. It does not certify temperature control, cargo condition, or regulatory compliance.
