What the driver needs before departure

A pretrip handoff should put the load record and unresolved questions in one place. Include load number, customer, pickup and delivery addresses, appointment windows, commodity notes supplied by the customer, equipment, contact names, reference numbers, and the latest dispatch update. The trucking VA for dispatch support resource covers related office support.

Mark facts separately from questions

Use fields for confirmed, awaiting confirmation, and driver question. “Pickup 08/14 at 07:00, reference 4318 confirmed” is different from “driver asks whether the receiver accepts late arrival.” Attach the rate confirmation or tender instead of copying a detail into a chat where it can be lost. Record who answered each question and when.

The handoff call

Review route and appointment details from the active dispatch record, then record the driver's acknowledgment and any constraint raised. A VA can prepare the packet and capture the call note. Dispatch or the carrier owner decides whether to change a load, contact a customer, or address a safety concern. Current operating guidance is available through the Federal Motor Carrier Safety Administration.

Close only after the exception moves

Keep an open item with owner, next contact, deadline, and evidence link. “Driver informed” closes an information handoff only when the record shows which version was shared. If an appointment or customer instruction changes, timestamp the change and resend the complete affected detail, not just a correction with no context.

Use a stoplight that means something

Mark green only when origin, appointment, equipment, commodity, contact, and constraints are confirmed. Mark amber when an owner response is pending, and red when the missing fact could make the move unsafe or impossible. The FMCSA pre-trip inspection rule establishes the inspection obligation, while FMCSA cargo-securement resources cover a separate loading control. Dispatch translates them into procedure; it does not waive them.
