A broker sends a revised rate confirmation after dispatch has already saved an earlier copy. The office needs a receipt trail before anyone treats the revision as current. A version register keeps the documents distinct and routes the decision to the carrier's authorized owner.

Preserve every supplied version

Create one load record with linked document events. For each file, capture receipt time, sender, channel, filename, visible revision label, and a link to the unchanged artifact. Assign an internal sequence based on receipt order, not on assumptions about which version controls.

Compare only fields named in the carrier's procedure. Record observed differences such as amount, stop, appointment, equipment, or accessorial language. Do not decide whether a change is acceptable.

Require an explicit receipt event

Forwarding a file does not prove that the correct owner reviewed it. Record the destination, send timestamp, delivery evidence where available, and the owner's response. If no acknowledgement arrives, the record stays open.

When the broker sends another correction, add a new event. Never replace the old file or silently edit the comparison note.

Control downstream copies

The register should identify which systems received which version. If dispatch, billing, and the driver packet hold different copies, flag the mismatch and pause only the administrative steps specified by policy. The carrier decides operational and commercial action.

Audit for reconstruction

Each week, sample a load with no revision and several with one or more revisions. A reviewer should be able to trace receipt order, observed changes, routing, acceptance, and downstream distribution.

Track unacknowledged revisions, duplicate files, conflicting labels, and records reopened after closure. These measures expose process friction. They do not establish contract meaning, payment entitlement, or fault.

Working standard

A reliable revision receipt shows the complete file history and the recorded owner decision. Administrative staff maintain the trail; carrier leadership decides which terms govern the load.
